Appointment Clerks - Overview

Receptionists greet visitors, answer phone calls, and perform clerical duties.

Receptionists are usually the first employee customers, clients, and visitors meet. They determine the visitors' needs and refer them to the proper people. They also prevent people from entering who do not belong here.

The specific responsibilities of receptionists varies by employer. In general, receptionists answer phone calls and provide information to callers. They may quote prices for products or services. In addition, receptionists route callers to the appropriate person, transfer calls, or take messages.

Receptionists may also have clerical duties including:

  • Opening and sorting mail
  • Signing for and distributing packages
  • Bookkeeping
  • Typing
  • Filing documents
  • Keeping the visitor area clean

Switchboard operators perform many of the same duties as receptionists. They answer incoming calls and transfer them to the appropriate person. In addition, switchboard operators route emergency calls and monitor alarm systems to maintain secure conditions.
